The Context

Indira has been in real estate since 2006, nearly 20 years. She started out on the street, handing out flyers and dropping real estate booklets at restaurant and gas station stands. From there she became a realtor's assistant, a little school for her, and learned the craft that defines her today: transaction coordination. Today she runs her own business, Ciris Multiservices LLC, out of Cape Coral, Florida.

In this job, dates are everything. They are your bible, she says. A missed date can mean money lost for the client being represented. The transaction coordinator is the one who takes the administrative weight and paperwork off the agent so they can be out finding clients. We are like the cricket of conscience, she explains.

The Problem: Folders Everywhere and Sleepless Nights

For years, Indira’s days were all paper. Folders everywhere, two or three desks covered in folders. The calendar lived on a whiteboard on the wall that could only show one month at a time. I cannot see the next month, it does not fit.

The real cost was not the clutter, it was the stress. Every contract brought the same anxiety: what if I miss a date? Finding a single document inside a folder could take 30 minutes, and sometimes it was not even there. Extensions and negotiations got resolved on the deadline day itself, in a rush, fingers crossed that the signature would arrive before the client fell out of contract.

That fear put a ceiling on her business. I did not dare take on more agents, what worried me most was missing a date. She tried several programs over two or three years. None of them gave her peace of mind.

Before, a contract would come in and, oh my God. Now I say: send me the contract, send me the contract.

The Change

In December, searching, as always, for new tools to make her work easier, Indira came across ListedKit. She started exploring the AI features and, within a few months, found what she had been looking for for years.

The key for her was the calendar sync. Now all the important contract dates flow in automatically, and every day she gets a reminder of what needs attention. She can get ahead two or three days early, exactly the margin she needs to extend a contract on time instead of fighting the clock on the last day.

Before, it was the same day, begging and crossing my fingers. Now I get ahead two, three days. I feel less stressed, calmer. I can sleep peacefully.

The Results: From 3 Deals to 25

3 → 25

Indira went from 3 to 4 transactions to about 25 active, and from 2 to 3 agents to 7

Paperless

She no longer keeps physical folders for her transactions, everything is digital

99.9%

Approval rate on the files she submits, because she stays ahead of every document

With the fear out of the way, Indira could grow. She went from 2 to 3 agents to 7, and from 3 to 4 transactions to about 25 active. A month ago she hired an assistant, anticipating the business will keep growing.

The paperwork practically disappeared. She no longer keeps physical folders for her transactions: everything lives digitally. The whiteboard on the wall is empty now.

The compliance module was another turning point. Every broker requires its own list of documents before releasing the commission check. Indira adapts that list in ListedKit, and reviewing a full file now takes her 5 minutes instead of 30. The result? A 99.9% approval rate on the files she submits.

Before, it was very common for them to hold your check over missing documentation. It has not happened to a single one of my agents with the program, because I stay ahead.

Working From Anywhere

The change also gave her freedom back. Her husband is a boat mechanic and travels every two weeks; Indira goes with him, two dogs included, and works from her tablet during the five-hour drive. I have my portable office right here. I do not lose a day of work just because I am traveling.

I do not need to go on vacation hauling the whiteboard.

Dancing With the AI

Indira describes her relationship with the tool as a dance. You take a step, I take the next one, and there we go, dancing together. She learned that the system responds as well as you know how to give it commands, and she even taught her assistant to read what the system is telling you before approving each action.

Of course, to dance well you have to coordinate. It is the same when you are managing a transaction.

Far from making her lazy, she says the AI makes her think more: it makes you think about how to get the best out of the system. Mentally, you are developing more.

Her Recommendation

Indira is clear about who it helps most: transaction coordinators, assistants, and secretaries who carry the administrative load. Agents are running around from one place to another. The ones who are going to feel the relief are the ones who handle the whole transaction.
